Situation: Counters, tickets, appointments
Variety: European Portuguese (pt-PT)
Goal: Get through the desk without freezing
Not a goal: Sound like a lawyer on day one

Getting a NIF (tax number) and surviving public-service desks is where many newcomers discover that phrasebooks fail under fluorescent lights. You do not need perfect Portuguese. You need a small script: greet, state your purpose, show documents, clarify, thank.

This guide sits next to our broader language survival kit for newcomers in the Living in Portugal hub. Procedures change -- always follow current steps on ePortugal / Finanças / AIMA for your case. Here we focus on language, not legal advice.

Before you walk in: English vs Portuguese

Online portals increasingly offer English. The human at the desk often defaults to Portuguese, especially outside tourist belts. Arrive with:

  1. Appointment confirmation (if you have one) on your phone and printed if possible
  2. Passport / residence document ready
  3. One sentence that states why you are there

If you blank, repair phrases save more appointments than advanced subjunctives. The same muscle shows up later in the CIPLE speaking module.

Core appointment script

Use this as a loop. Swap only the purpose line.

StepYou say (pt-PT)Meaning
1"Bom dia. Tenho uma marcação."Hello. I have an appointment.
2"Chamo-me..." / "O meu nome é..."My name is...
3"Venho pedir / tratar do NIF."I am here for the NIF.
4"Trouxe o passaporte."I brought my passport.
5"Onde assino?" / "Preciso de mais algum documento?"Where do I sign? / Do I need another document?
6"Muito obrigado/obrigada."Thank you.

Purpose lines you can plug in

PurposePhrase
Tax number"Venho pedir o NIF."
Appointment check-in"Venho para a marcação das dez."
Follow-up"Venho levantar / entregar documentos."
Information only"Queria uma informação, se faz favor."
Reschedule"Preciso de remarcar a consulta / marcação."

Gender tip: obrigado (speaker male) / obrigada (speaker female). Staff will not grade you for mixing it once -- clarity matters more.

At the ticket machine / queue

NeedPhrase
Help with the machine"Pode ajudar-me com a senha, se faz favor?"
Which queue"É esta a fila para o NIF / Finanças?"
I have an appointment"Já tenho marcação."
I do not have one"Não tenho marcação. Posso ser atendido/a hoje?"

If the answer is no, ask the next step without arguing:

  • "O que preciso de fazer?"
  • "É online ou presencial?"
  • "Pode dizer-me o site oficial?"

Prefer official domains (eportugal.gov.pt, portaldasfinancas.gov.pt, aima.gov.pt) over random Instagram "helpers".

Document language (fast)

Staff often ask for documents by short names. Recognise these:

You hearUsually means
"Passaporte"Passport
"Comprovativo de morada"Proof of address
"Comprovativo de IBAN / NIB"Bank details proof
"Cartão de residência"Residence card
"Procuração"Power of attorney
"Fotocópia"Photocopy

Useful replies:

  • "Sim, está aqui."
  • "Não trouxe. Posso enviar depois por email?"
  • "Está no telemóvel -- posso mostrar?"

Clarifying without shame

Noise, masks, and fast speech are normal. Use repair lines early:

NeedPhrase
Repeat"Pode repetir, por favor?"
Slower"Mais devagar, se faz favor."
Write it"Pode escrever, se faz favor?"
Spell"Como se escreve?"
Confirm time"Então é no dia X, às Y, certo?"
Confirm place"É neste balcão?"

These also belong in café and street Portuguese -- see café phrases for Lisbon newcomers.

Phone / WhatsApp follow-ups

After the desk, you may get SMS or WhatsApp-style messages. Keep replies short:

  • "Recebi a mensagem. Obrigado/Obrigada."
  • "Pode confirmar a data, se faz favor?"
  • "Não consigo abrir o link. Há outra forma?"

For neighbourhood WhatsApp tone more broadly, the survival kit covers the trend; here the rule is: short, polite, one question per message.

A 20-minute practice routine

  1. Read the core script aloud twice.
  2. Cover the English column; say the Portuguese from memory.
  3. Record a 90-second role-play: check-in + purpose + one repair phrase.
  4. Swap the purpose line (NIF vs "informação" vs "remarcar").
  5. Repeat tomorrow -- same script, faster.

Daily speaking beats one long cram session. If you want guided voice turns after this, practise in Telegram the same way you would at the counter: short answer, wait, repair, continue.
